Post: Sixth Form Administrator.

There is also the possibility that the postholder could assume additional responsibility for administering whole-school cover at St Birinus School.

Hours: 15 hours per week, 3 hours per morning, term time only, not including INSET.

There is the possibility of working flexibly around these hours. Working hours would rise to 22.5 hours per week for a candidate interested in the additional role of whole-school cover administrator.  

Grade: 5 (£19,650 - £20,444 full time equivalent, £6,679- £6,949 actual pay).

Actual pay would rise to £10,019 - £10,423 including the role of cover administrator.  

Responsible to: Director, Didcot Sixth Form

Contract type: permanent, starting September 2022

Purpose of the Job

  • To manage the administration of attendance in the sixth form on a daily basis
  • To provide efficient administrative support to the Didcot Sixth Form team
  • To manage the administration of a small number of sixth form systems

Key Responsibilities

Attendance:

  • Input daily attendance data accurately into the sixth form’s management information system
  • Investigate unexplained absence, from tutor time and lessons
  • Daily ‘first day response’ with students and/or parents
  • Ensure registers are accurately taken in a timely fashion and follow up with staff missing registers
  • Pass outstanding unexplained absences to Heads of Year for follow-up
  • Identify and track patterns in attendance / punctuality for individual students, flagging with Heads of Year when required
  • Administer signing in/out systems at DGS and SBS and update registers where necessary
  • Input into continued improvement of DSF attendance systems

Administrative:

  • Administrative support for the Director of the Sixth Form and Heads of Year
  • Administrative support for the 16-19 Bursary scheme
  • Update website information weekly and update core info annually
  • Send weekly updates to parents via SIMS InTouch
  • Prepare letters, when required, using mail merge documentation and systems
  • Administrative support for the Deputy Director through the UCAS process, including information input into UCAS form and chasing outstanding information / components  
  • Support the Deputy Director by collating information about school leavers’ destinations and reporting the information to Oxfordshire County Council
  • Any other reasonable duties and activities as may be required from time to time as directed by the Director of Sixth Form, Headteachers or Executive Headteacher

Desirable:

  • Previous general clerical / administrative experience
  • NVQ Level 2 or equivalent
  • Experience in the use of school MIS systems
